Programs define player development pathways for your academy. They are available on Professional and Enterprise plans via the Programs feature. Each program is scoped to one sport at your academy; lessons, skill tracking, and make-up credit compatibility all respect that sport.
Understand what programs are
A program is a development pathway — it defines target skills and goals but is not bookable on its own. Think of it as a template for lessons: you define the skills, goals, and progression once on the program, then link individual lessons to it. Those lessons inherit the pathway context for traceability and coach skill tracking without duplicating the same skill list on every class.
Programs can form progression chains: set This program follows to indicate which stage a student should complete first. Multiple programs can share the same predecessor, enabling parallel branches (for example an open Orange squad and an invitation-only Orange Performance squad both following Red Stage).
The Programs page lists pathways in forest order — roots first, with children sorted by name. When your academy runs more than one sport, use the sport filter badges to narrow the list.

Create or edit a program
Go to Programs in the owner sidebar and click New program.
- Reference pathway — choose a predefined template for tennis, pickleball, or padel, then complete the import wizard. See Creating Program Pathways.
- Custom pathway — define a single stage from scratch, or add the next stage in an existing pathway.
- Parallel branch — click Parallel branch under an existing stage to add a sibling program with the same This program follows predecessor (useful for invitation-only splits).
When creating or editing a program, enter:
- Name and description
- Sport — required; programs are scoped to one academy sport
- Target skills and development goals
- Optional age group and target skill level
- Optional This program follows for pathway ordering
- Invitation only if enrollment requires academy approval
- Active toggle to hide a program from lesson selectors without deleting it
Link lessons to programs
When creating or editing a lesson in Terms & Lessons, Camps, or Private lessons, select a program from the dropdown. Only programs for the lesson's sport appear in the list.
Lessons linked to the same program form part of that development pathway. Coaches and owners can track student progress on target skills from the student detail page when the student has bookings on program-linked lessons.

Enable invitation-only enrollment
For selective programs (high-performance squads, trial-based groups, or talent pools), enable Invitation only on the program. Public booking for linked lessons then requires an expression of interest (EOI) first.

The program form explains the rule: families submit an EOI and must be invited before booking. Existing program members — students with a confirmed or completed booking on any lesson in that program — can still book other lessons in the same program directly.
To run an open track and a selective track at the same stage, add a parallel branch with Invitation only enabled on the selective copy. See Creating Program Pathways.
Expression of interest workflow
How families submit an EOI
- A guardian or student views an invitation-only lesson on your public academy page.
- Instead of booking directly, they submit an expression of interest with player details, experience level, goals, and availability.
- Signed-in families complete the EOI from the booking wizard.
- Visitors without an account can submit a guest EOI on invitation-only programs (no account required).


Review submissions
Open Bookings → Expressions of interest in the owner dashboard.
Use the lesson scope filters at the top to narrow by term and lesson — EOIs are tied to the lesson the family wants to book. Filter by status (pending, reviewed, invited, declined, booked) to focus your queue.
For each submission you can:
- View details — player, guardian contact, experience level, goals, availability, and message
- Send invitation — emails a unique link that unlocks the normal booking and payment flow (
?invitation=in the URL) - Decline — optionally add internal notes

After you send an invitation
When the guardian clicks the invitation link, they complete the standard booking wizard — account sign-in (if needed), student selection, and checkout. The EOI status updates to booked once a booking is confirmed.
You do not need to manually approve each step after sending the invitation; the link is the approval.
Existing program students
Students with an active program booking — confirmed or completed on any lesson in that program — can book other lessons in the same program without submitting a new EOI. This streamlines progression within a pathway while keeping the gate for new entrants.
Track skill progress and certificates
Coaches and owners record progress per target skill on the student detail page. Open the Pathway tab when the student has bookings on program-linked lessons.
- Mark as achieved when a student demonstrates a target skill during lessons
- View completion status per program stage
- Download certificate (PDF) when all target skills for a stage are achieved — certificates use your academy branding and signer details from Academy Settings


Troubleshooting
